Note: If you have already submitted an abstract, please access your personal area and complete your registration form.

All Registration must be completed on the official website. The deadline for early-bird registration is 30. june 2023.

Participants are strongly encouraged to register before 30.june 2023 to take advantage of the discounted registration fees.

Registration Fees Include:

  • Admission to all sessions
  • Conference materials (e.g., access to a complete program with abstracts in the conference app, and attendance certificate).
  • Tea, coffee, and lunch as mentioned on the congress program – lunch is included in the conference fee. Coffee is served twice a day.
  • Welcome Reception on Wednesday at Casa da Musica.
  • Farewell Cocktail on Saturday at the conference venue.

Registration Fees do not include:

  • Social Dinner on Friday evening - SOLD OUT

Participants who wish to join must purchase tickets to be admitted to the venue. Those who plan to join the Social Dinner can purchase a ticket during the registration process.

Please note that dinner tickets are limited on a first-come, first-served basis till 10. august 2023. It will be held at Ferreira Port wine cellars.

  • Dinner for students: € 60
  • Dinner for Post-doc/Full Researcher: € 70

Dinner includes, welcome reception, main course, dessert, and drinks/coffee (and of course, port wine). There will be music.

Registration Terms and Conditions

  • All registration fees are quoted in Euro (€)
  • Payment in any other currency will not be accepted.

 

Payment will be available by credit card and bank transfer:
Credit cards are accepted and can be made through the online services on a secured server. Service tax for payment by credit card it will be charged and it should be paid by the participants in addition to the fees. For security reasons, under no circumstances should credit card details be sent by email.

Bank transfer: Bank charges must be paid by the participants in addition to the registration fees.Please make sure to indicate the Congress name plus the full participant’s name. 

Invoices with an address in the European Union should be provided with a VAT Number. The invoicing address and VAT number can only be set up during the registration process.Enter the desired billing address – you can either use your main contact information or use an alternative address (e.g., if your institution is funding your registration).

Proof of enrollment for students
For registration in student categories, the interested party must submit a supporting document that proves his/her current student status (proof of enrollment or declaration of the educational institution). The document must be added to your online registration form after you select the student fee category.

Once your registration process is completed, you will receive an automatic e-mail confirming that your registration process was successfully completed.

Certificate of participationCertificates of participation are sent via e-mail to all participants within 15 days of the event.

Cancellation and Refund Policies
Request for cancellation of the registration should be made to the secretariat via email at lurdes.catalino@abreu.pt

Please quote your transaction number (ID). Transaction number (ID) will be allocated during the reservation process. 

Refund Policy

  • Before July, 2023 – full fee amount is refundable minus a handling fee of € 30
  • Between July 01 – August 15 – only 50% of the fee amount is refundable minus a handling fee of € 30
  • After August 15 – a refund of registration fees is not available.

Should a participant not attend the congress, for whatever reason, no further claims for reimbursement or waiving of fees can be made. 

Liability Waiver
The safety and well-being of our attendees is our top priority. The ESCOP 2023 organizers are committed to providing a safe environment for the event and will make every reasonable effort to do so. However, as an attendee, you must fully understand and knowingly, voluntarily, and irrevocably assume all risks related to entry into, and presence in, at, and around the event venue(s), which may include an increased risk of exposure to communicable diseases. As an attendee, you accept personal responsibility for your voluntary participation in the event and assume all responsibility for claims and potential claims relating to any risks and hazards of attendance.

- Symposium submission: 17. October 2022 – 15. December, 2022

Abstract submission: 15. January 2023 – 31. March 2023

- Notification of acceptance for symposia: 28. February, 2023

- Notification of acceptance for abstracts: 15. May, 2023

- Early bird registration: 01. April to 30. June, 2023

- Late registration: from 01. July, 2023 to 05. September, 2023. After that, only onsite registrations will be accepted
